Cortex Privacy Policy

1. Introduction

Enhanced Intelligence LLC ("we", "us", "our") operates Cortex, an internal business operations platform (the "App"). This Privacy Policy explains how we collect, use, store, and protect your information when you use Cortex.

Cortex is used by authorized team members to manage scheduling, client records, and bookings for businesses operated through the Enhanced Intelligence platform. It is not a consumer-facing application and does not collect data for advertising, analytics, or tracking purposes.

This policy supplements our general privacy policy, which covers the Enhanced Intelligence website and other services.

2. Data We Collect

2.1 Account Information

When you create or are provisioned a Cortex account, we collect:

• User credentials: Name, email address, and password (hashed)
• User ID: A unique identifier generated by our authentication system (Supabase Auth)

2.2 Client Contact Information

Team members enter client information into Cortex for business operations:

• Contact details: Client name, email, phone number, and address
• Booking data: Appointment scheduling, service selections, and booking status
• Vehicle information: Vehicle details associated with service appointments

2.3 Usage Data

We collect basic product interaction data (screens visited, actions taken within the app) solely for providing app functionality such as scheduling and booking management.

2.4 Data We Do NOT Collect

Cortex does not collect: location data, health or fitness data, financial information, browsing history, diagnostics, advertising identifiers, or any data used for tracking or targeted advertising.

3. How We Use Your Data

We use collected data exclusively for:

• Authentication: Verifying user identity and managing account access
• Scheduling: Managing appointments, bookings, and calendar coordination
• Client management: Maintaining client records for service delivery
• Booking coordination: Processing and tracking service appointments

We do not use your data for advertising, profiling, behavioral analysis, or any purpose unrelated to the core functionality of the Cortex platform.

4. Data Storage and Security

Your data is stored securely using industry-standard practices:

• Database: Data is stored in Supabase (cloud-hosted PostgreSQL) with encryption at rest
• Transit: All data is transmitted over HTTPS (TLS encryption)
• Authentication: Passwords are hashed and never stored in plain text
• Access control: Data access is restricted to authorized team members through role-based permissions

While we implement reasonable security measures, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.

5. Third-Party Services

Cortex integrates with the following third-party services to provide its functionality:

• Supabase: Database hosting and user authentication
• Google Calendar: Schedule synchronization for booking management

These services have their own privacy policies. We only share the minimum data necessary for each service to function. We do not integrate with any advertising networks, analytics platforms, or data brokers.

6. Data Sharing

• We do not sell your data to third parties
• We do not share data with advertisers
• We do not use tracking or advertising SDKs
• We may disclose information if required by law or to protect our legal rights

7. Data Retention

We retain your data for as long as your account is active or as needed to provide our services. Client records are maintained for the duration of the business relationship. If you request account deletion, we will remove your personal data within 30 days, except where retention is required by law.

8. Data Deletion

You have the right to request deletion of your account and associated data. To request data deletion:

• Include the email address associated with your account
• We will process your request within 30 days and confirm deletion via email

Upon deletion, your account credentials, user profile, and associated data will be permanently removed from our systems.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access: Request a copy of the personal data we hold about you
• Correction: Request correction of inaccurate or incomplete data
• Deletion: Request deletion of your personal data
• Portability: Receive your data in a machine-readable format
• Objection: Object to the processing of your data

10. Children's Privacy

Cortex is a business operations tool and is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13. If we learn that we have collected data from a child under 13, we will delete it promptly. If you believe a child under 13 has provided us with personal information, please contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Your continued use of Cortex after changes are posted constitutes acceptance of the updated policy.
